How to Follow Up Without Sounding Like a Robot

You know the message.

"Hi [First Name], thanks for visiting [Church Name]! We hope you had a great experience. Here's our next steps."

You can practically hear the merge fields.

Here's what gives it away every time

A few things instantly signal "this was automated," even when a real person technically hit send.

No specific detail from the actual visit. Nothing that proves anyone actually remembers you were there.

No personal name attached. Just the church's name, or worse, no name at all.

Sent at a weirdly automated time. 9:02am sharp, every single week, like clockwork. Guests notice that pattern faster than you'd think.

Put those three things together and the message reads exactly like what it is. A system, not a person.

Three quick fixes that change everything

Reference something specific from their visit. Their name, their kid's classroom, something they mentioned in conversation. Anything that proves a human actually paid attention.

Send it from a real person's name and number. Not "Church Office." A name. A face they can picture. A number they could actually text back.

Keep it short and human instead of polished and corporate. Ditch the exclamation points and the branded tone. Write it the way you'd text a friend, because that's basically what this is.

None of these take extra time. They just take intention instead of autopilot.

If you want to go deeper on why texting specifically works so well for this, we wrote a whole post on it: Why a Simple Text Might Be the Most Powerful Follow-Up Your Church Sends.

People don't want to be processed

They want to be noticed.

Every automated-feeling touchpoint quietly tells a guest, "you're a name on a list." Every genuinely personal one tells them, "you're a person we actually saw."

Same effort, wildly different message received.
